After adding a Team Member to your business account, you can assign working hours to your member. Picktime automatically assigns a standard 9:00 am to 5:00 pm working hours to your team member. Follow the steps below to modify them.

Go to team.
Select the added team member.
Then navigate to ‘working hours’ tab.
You will see the already set times.
Check or Uncheck the working days according to your convenience.
To add a break, click on ‘+breaks’ you see beside each day’s working hours.
Set the times you want. Repeat for all days if you want.
Click the save button you see on the top right corner to save changes.

Open the AI Receptionist tab, then click on Select AI Number to get your dedicated phone number.
You’ll be guided through a setup process to choose your Area Code and State Code, click on Search. Click Select next to the number you want.
Verify the number and click on Confirm & Proceed to get your dedicated AI Receptionist phone number.
After the setup is done, you will see the Available Minutes, Call Logs, and the Enable AI Receptionist option. Toggle on Enable AI Receptionist.

SMS Policy

SMS is a great way to send a booking confirmation or a reminder to avoid no-shows and keep them connected with your business.

The number of SMS messages you can send depends on the plan and credits. Picktime's monthly/yearly subscription plans include free SMS credits for each premium plan.

The Starter monthly plan gets 50 SMS free credits per month, and the Starter yearly plan gets 600 SMS free credits per year.

Meanwhile, the Pro monthly plan gets 100 SMS free credits per month, and the Pro yearly plan gets 1200 SMS free credits per year.

In Pro plan monthly, for every extra 10 team members, you will get 100 free credits and for Pro plan yearly for every extra 10 team members, you will get 1200 free credits

1 credit = 1 SMS

Free credits expire according to your plan expiry date. Unused free credits will not carry to the next month.

In the event your expected booking volume is higher than free credits, you can buy paid credits.

To buy SMS Credits, follow the below-mentioned steps,

Go to Setup>>Notifications
On the top menu, Click on settings
Under SMS credits table, click on Buy credits link.

Open AI Receptionist Settings

Log in to your Picktime account.
From the left-side menu, click AI Receptionist.
Navigate to the Settings tab.

Agent Profile Setup

Under Agent Profile, you can personalize your AI assistant:

Agent Name – Enter the name you want your AI receptionist to introduce itself with.
Agent Persona – Choose the tone of communication (e.g., Friendly & Casual, Professional & Formal, etc.).
AI Voice – Select the preferred voice option for your AI receptionist.

This helps your AI match your preferred communication style.

Call Configuration

Under Call Configuration, you can define how your AI receptionist handles calls.

→ Greeting Message Customize the message callers hear when the call begins. Example: Hi, this is {agentname} from {businessname}. How can I help? You can use dynamic fields like:

Discount Coupons in Picktime help you attract new customers, promote specific services, and increase bookings through special offers. Follow the steps below to create and manage discount coupons for your business.

Step 1: Navigate to Discount Coupons

Log in to your Picktime account.
From the left-side menu, go to Promotions.
Click on Discount Coupons.
Click the New Coupon button at the top right corner.

Step 2: Enter Coupon Details

In the coupon creation window:

Coupon Name: Enter a name for internal tracking (e.g., WEEKEND20).
Coupon Code: Enter a custom code or click Generate to create one automatically.
Locations: Select the business location(s) where the coupon will be valid.
Offer Applications: Choose whether the coupon applies to Items (specific services) or Categories (an entire service category).
Discount Value: Select Percentage (%) for percentage discounts or Fixed Amount ($) for flat discounts, then enter the discount value.

Avoiding spam bookings can be difficult, but following a few simple guidelines can help you stay safe and avoid unwanted bookings.

Follow these steps to block customer contacts:

Click on the three vertical dots at the top right corner, then click on the “Block Customers” option from the drop-down menu.
In the Block Customers pop-up, Enter the email address and click on the “Add” button
Now, you can see the blocked contacts list.

Note:

All the emails which are listed Block Customers list will be blocked from making bookings from your Online Booking Page.
The default Email field should be mandatory in the booking form.
You can unblock the contact just by clicking the delete icon on the right side of the contact in the Block Customers pop-up.
